This notice explains how KW | JF Sailing collects, uses and protects personal information when you visit this website or book a place on the ILCA 4 and 6 Autumn Training Series. We take particular care because many of our sailors are under 18.

Who we are

KW | JF Sailing is the coaching partnership of James Foster and Kai Wolgram. We are the data controller for the personal information described in this notice and are responsible for looking after it in line with UK data protection law (the UK GDPR and the Data Protection Act 2018).

Information we collect

When you book

Bookings are made through our Google Form. We collect the information requested on that form, which may include:

  • the sailor's name, age and ILCA class
  • the camps you would like to attend
  • parent or guardian name, email address and phone number
  • sailing background and experience, to help us organise training groups

Medical, emergency and image release information

Before a sailor attends, we ask a parent or guardian (or the sailor, if 18 or over) to complete a separate medical and image release form. This may include emergency contact details, relevant medical conditions, allergies or medication, and consent choices for photography and video. Health information is special category data and we handle it with extra care.

During training

We film and photograph sessions and may record GPS tracking data so that we can provide video analysis and personalised post-camp coaching summaries. We also keep notes on each sailor's progress to write those summaries.

When you visit this website

This website does not use analytics, advertising or tracking tools and does not set cookies of its own. Our hosting provider, Cloudflare, processes basic technical information (such as IP address and browser type) to deliver the site securely and protect it from abuse.

How and why we use it

  • To manage bookings and run the camps — confirming places, organising groups, sending joining information and taking payment. Lawful basis: performing our agreement with you.
  • To keep sailors safe — using medical and emergency information if it is needed on or off the water. Lawful basis: legitimate interests and, for health information, your explicit consent; in an emergency, vital interests.
  • To coach and give feedback — video, photos, GPS data and coaching notes used to produce analysis and post-camp summaries. Lawful basis: performing our agreement with you.
  • To share training updates — through the optional WhatsApp information group. Lawful basis: consent, which you give by joining and can withdraw by leaving the group.
  • To promote the series — photos or video may appear on this website or our social media only where image consent has been given. Lawful basis: consent.

We do not sell personal information or use it for automated decision-making.

Who we share it with

We only share personal information where it is needed to run the training:

  • Google — stores our booking and medical forms and responses.
  • WhatsApp (Meta) — hosts the optional information group. Other members can see your name and phone number.
  • Cloudflare — hosts this website.
  • Host venues (WPNSA and Poole Yacht Club) — attendee names and, where needed for safety, emergency details.
  • Emergency services or medical professionals — if a sailor needs help.

Some of these providers may process information outside the UK. Where they do, they use legally recognised safeguards such as the UK International Data Transfer Addendum or adequacy regulations.

How long we keep it

  • Booking and payment records: until 12 months after the end of the series, or longer if required for accounting.
  • Medical and emergency information: deleted within three months of the last camp the sailor attends.
  • Coaching video, GPS data and summaries: until 12 months after the end of the series, unless you ask us to delete them sooner.
  • Photos and video used for promotion: until consent is withdrawn.

Under-18 participants

For sailors under 18, booking, medical and image consent forms must be completed by a parent or guardian, and we communicate with parents and guardians about bookings. Parents and guardians can exercise the rights below on behalf of their child.

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to ask for it to be transferred, and to withdraw consent at any time (this does not affect anything we did before you withdrew it).

To make a request, reply to any booking email you have received from us or message us through the WhatsApp information group. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to resolve your concern first.

Cookies

This website does not set cookies and does not use analytics or advertising tools, so there is no cookie banner. Cloudflare may set a strictly necessary security cookie to protect the site from automated abuse. Links to Google Forms, WhatsApp and Google Maps take you to those services, which have their own privacy and cookie policies.

Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
